Terms of Service

Last updated: July 2026

Who we are

ChurchManager is operated by Fortress Technology ("we", "us", "our"), a company registered in South Africa (registration number: 2016/163294/07). You can reach us atcontact@churchmanager.io.

Accepting these terms & eligibility

By creating an account or using ChurchManager (the "Service"), you agree to these Terms of Service on behalf of yourself and, where applicable, the church or organisation you represent. You confirm that you are at least 18 years old and authorised to bind that organisation. If you do not agree to these terms, please do not use the Service.

Your account

You are responsible for keeping your account credentials secure and for all activity that happens under your organisation's accounts. Administrators control which roles and permissions are granted to staff and volunteers within their church. Notify us promptly atcontact@churchmanager.io if you suspect unauthorised access.

The service & your licence to use it

We grant you a limited, non-exclusive, non-transferable licence to use the Service for your church or organisation's internal purposes while your subscription (or early-access participation) is active. We host, maintain, and update the Service; features may evolve over time, and we will not materially reduce the core functionality you pay for without notice.

Acceptable use

You agree not to:

  • use the Service to store or distribute unlawful, infringing, or harmful content;
  • attempt to gain unauthorised access to the Service, other tenants' data, or our infrastructure;
  • resell, sublicense, or provide the Service to third parties outside your organisation;
  • use member data held in the Service for purposes your members have not consented to;
  • interfere with or disrupt the integrity or performance of the Service.

Your data & content ownership

Your church owns its data — people, groups, giving records, notes, and everything else you put into the Service. We process it only to provide the Service, as described in ourPrivacy Policy. You can export your data at any time, and you can ask us to permanently delete it when you leave.

Prices, payment & taxes

Current plans and pricing are shown on our website. During early access, participation is free and no payment details are required. Paid subscriptions are billed in advance on a recurring basis; prices exclude any applicable taxes, which are your responsibility. We will give you reasonable advance notice of any price changes, which take effect at your next billing cycle.

Cancellation & termination

There are no long-term contracts or lock-in. You may cancel at any time, effective at the end of your current billing period. We may suspend or terminate access for material breach of these terms after giving you reasonable notice and an opportunity to remedy where practical. On termination, you may export your data, and we will delete it from our systems on request.

Service availability & disclaimer of warranties

We work hard to keep the Service available and reliable, but it is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose. We do not warrant that the Service will be uninterrupted or error-free.

Limitation of liability

To the maximum extent permitted by law, our total liability arising out of or related to the Service is limited to the amounts you paid us in the twelve months before the claim arose. We are not liable for indirect, incidental, special, or consequential damages, or for loss of data, revenue, or goodwill. Nothing in these terms limits liability that cannot be limited under applicable law, including under the Consumer Protection Act where it applies.

Intellectual property

The Service, including its software, design, and branding, is and remains our intellectual property. Feedback and suggestions you send us may be used to improve the Service without obligation to you. Nothing in these terms transfers any of your data or content to us.

Changes to these terms

We may update these terms from time to time. If a change is material, we will notify account administrators by email or in-app notice at least 14 days before it takes effect. Continued use of the Service after that date constitutes acceptance of the updated terms.

Governing law

These terms are governed by the laws of the Republic of South Africa, and the South African courts have jurisdiction over any dispute arising from them, without prejudice to any mandatory consumer protections that apply in your country of residence.
